Recording a Zoom meeting

Only hosts and co-hosts can start a cloud recording during an active meeting. If you want a participant to start a recording, you can make them a co-host or use local recording. Recordings started by co-hosts will still appear in the host's recordings in the Zoom web portal.

Zoom recordings are stored in the cloud for 45 days, unless you have used Panopto Video before, in which case Zoom recordings will be stored in Panopto for 18 months since the last play of the video. After 18 months, the recording moves into the archive, where it stays for three years before being automatically deleted. Recordings can be brought out of the archive at any time; the process takes about 72 hours.

Recording a meeting to the cloud

⚠️Note: If you have used Panopto Video in the past, your Zoom cloud recordings are automatically stored in Panopto and deleted from Zoom immediately upon processing.

You can record the meeting in different recording layouts, including active speaker, gallery view and shared screen.

To record your meeting to the cloud:

1. Start a meeting as the host.
2. Select the Record button from the More menu in the Zoom toolbar (see Fig. 1).

3. Select Record to the Cloud to begin recording (see Fig. 2).

4. To stop recording, select the red Record button again and choose Stop recording (see Fig. 3).

5. Once the recording has been stopped, it must be processed before it can be viewed. Zoom will send an email to the host's email address when the process is completed. If you use Panopto Video, your recording will not be accessible from this email. To access recordings in Panopto, go to Panopto Video from one of your Canvas sites, select Open in Panopto, go to My Folder, and go to your Meeting Recordings subfolder.

Important Zoom settings

Automatic recording caution: When both the “Automatically record meeting” and “Enable join before host” settings are selected for a Zoom meeting, it creates a situation where meeting participants are being recorded without the host present, which should be avoided.

Instead of these settings, please consider doing the following:

• Do not select Automatically record meeting unless you really need to.
• Do not select Enable join before host unless necessary.

⚠️Note: All users are notified that their meeting is being recorded and that by continuing in the meeting, they are consenting to the recording (see Fig. 4).
