Generating a transcript of a meeting or webinar

⚠️Note: Transcript features are not available on UM System Protected due to the additional security settings on that instance. You must use umsystem.zoom.us to generate a transcript for your meeting. 

If you record your meeting, you can generate a transcript from that recording

Generating a transcript in a meeting

  1. Start a meeting or webinar.
  2. Select the Transcript icon from the Zoom toolbar, it may be under the More option (see Fig. 1).

  3. When transcription is on, all participants will receive a notice that a transcript is being created. 
  4. To turn off transcription, hover over the Transcript icon in the upper-right corner of your Zoom screen (see Fig. 2).
  5. Select Stop transcription

  6. If you have stopped transcription, you can restart it by selecting the Transcript icon again. 

Generating a transcript for all of your meetings

If you would like to generate transcripts for all of your meetings, you can adjust your Zoom settings to turn this feature on automatically. 

  1. Visit umsystem.zoom.us and sign in to your account. 
  2. Select Settings from the menu on the left. 
  3. Search for Transcript in the search bar at the top of the screen. Alternatively, you can select Meeting > In Meeting (Advanced) and scroll down to find the Meeting transcript settings (see Fig. 3).

  4. Select the checkbox to Automatically generate transcripts for and use the drop down to determine if you'd like to generate transcripts for All meetings, or Meetings with a meeting summary.
  5. Adjust the retention and permissions settings if you'd prefer. 
  6. Select Save

Downloading the transcript

After your meeting has completed, you can download your transcript directly from Zoom. 

  1. Visit umsystem.zoom.us and sign in to your account. 
  2. Select Recordings and Transcripts from the menu on the left. 
  3. Select the Transcripts tab from the top of the page. You can search for your transcripts by topic or meeting ID, or narrow the results by date range (see Fig. 4).

  4. Select Download to download your file. 
    ⚠️Note: Transcripts will be automatically deleted 45 days after recording. 
  5. Once you have downloaded your transcript, you can edit it directly. Transcripts are automatically generated and may not be accurate. Editing is always recommended.
