Phenom Hiring Manager Application: How to Navigate the App

Home Page

The Phenom Hiring Manager Home Page includes widgets and tools that keep your work organized.

Open Jobs & Total Active Applicants

At the top of the Home Page, you’ll see two key widgets:

  1. Open Jobs — Total number of open jobs you’re assigned.
  2. Total Active Applicants — Total number of your active applicants across open jobs.

Click the blue arrow on this widget to see which jobs have active candidates and jump directly into those jobs.

Jobs List

By default, the Jobs List shows all open jobs to which you are assigned. You’ll see basic job details plus open tasks, upcoming interviews, and candidates in process.

Important Integration Note: Due to system integration limitations between Taleo and Phenom, “On Hold” jobs in Taleo appear as Open in Phenom.

Sorting & Filtering

  • Sort by: Open Tasks, Date Posted, or Recent Open Tasks.
    • When sorting by Date Posted, jobs appear by most recent posting date, whether or not the job is currently posted. Jobs never posted will sort to the bottom.
  • Filters: Use Filters → Past Jobs to toggle between Open and Past Jobs.
  • Pagination: If you have >10 open jobs, the dashboard separates them into pages.
  • Closed Jobs: If a job is closed, you cannot change candidates’ hiring statuses on that job.

Note: Given our current processes, the Intake tab next to Jobs List will always contain "0" Intakes, so you do not need to engage with this tab.

My Interviews Panel

On the right side of the Home Page, the My Interviews panel shows Upcoming and Past interviews scheduled via Phenom Scheduling. Click an upcoming interview to view details and, if necessary, take select actions. System Management Tools (Top‑Right Icons)

  • Search Bar — Find candidates by name or email, or jobs by requisition number or title.
  • Question Mark (?) — Access Phenom learning resources. (Some resources may reference products MUHC does not use.)
  • Calendar — Set your interview availability hours for Phenom Scheduling. See the Phenom Hiring Manager Application: How to Use Phenom Scheduling article for details on this function.
  • Messages — Open SMS texting to candidates.
  • Initials Menu — Access Account Settings or Sign Out.

Job Page

Open any job by clicking its title in the Jobs List or by searching in the Search Bar. The Job Page includes requisition details, associated interviews, and the hiring pipeline.

Displays job page. Job title, req number, job type, posting status, FTE, Shift, Hiring Team Role, Associated Interviews and candidates are visible.
 

Job Header & Details

  • Job Title
  • Requisition ID
  • Job Type (Full-time or Part-time)
  • Posting Status (Posted or Not Posted)
  • Proposed FTE
  • Shift
  • Your Role on the Hiring Team (Hiring Manager or Interviewer)
  • View Job link (if open and posted externally).
    • If the job is posted internally only, you will not see a view job hyperlink. Login to the internal career site and navigate to the job to get the internal posting link if needed.
  • Hiring Team Members (hover over initials for name and role).

 

Hamburger Menu

Use the hamburger menu (three lines) at the top of the Job Page to view:

Associated Interviews

Shows Upcoming and/or Completed interviews for candidates tied to this job and shared with you by your recruiter.

Candidate Hiring Pipeline

Displays candidates your recruiter has shared, organized by hiring stage. A candidate’s hiring status determines the stage in which they appear. Use Sort and Filter to quickly find candidates by attributes. See the Phenom Hiring Manager Application: How to Manage Candidates article for actions and stage transitions.

Draws attention to hiring pipeline stages as shown on job page. Stages are Assessment, Interview, Offer, Hired, Rejected, Declined.

 

Candidate Profile Page

You can open a candidate profile via:

  • Email Notification: Click Review Candidate in the forwarded‑candidate email.
  • Home Page: Expand a job to see shared candidates; click a candidate.
  • Search Bar: Search by name or email.

Profile Sections & What You’ll See

  • Quick Candidate Details: Name (preferred first name displays if provided), Hiring Status, Current Title & Company, Location, Primary Email, Primary Phone, Active Conversation Indicator
  • AI-Generated Profile Summary: Provides a concise overview of the candidate’s most relevant experience, skills, and qualifications.
  • Experience, Education, Skills, Certifications
  • Notes: Entries by hiring team members and recruiters. Use @mentions to collaborate. See the Phenom Hiring Manager Application: How to Manage Hiring Team Members article for note‑sharing details.
  • My Interviews: Your Upcoming & Past interviews with the candidate.
  • Evaluations: Evaluation forms and scores from interviewers.
  • Attachments: You should see HR Preliminary Interview Notes for all external candidates. If applicable, you may also see Resume and other relevant application documents.

Candidate Comparison

The Candidate Comparison feature allows you to easily view and compare multiple candidates side-by-side, making it faster and simpler to identify key differences and make informed hiring decisions. Hiring Managers can compare up to three candidate profiles simultaneously, with key details and evaluation summaries displayed in a single view. The comparison view includes:

  • Candidate profile details (experience, education, skills)
  • Summaries of interviewer responses ("Yes" or "No") for each candidate
  • Comparable evaluations (with drill-down functionality for accessing full evaluation details)

To access the Candidate Comparison view:

  1. Open the job for which you want to select candidates for comparison.
  2. On the job details page, click on "Compare Candidates" to view a list of all candidates.
  3. Select the candidates for comparison. You can choose multiple candidates, up to three, for comparison by ticking the boxes next to their names. You can also search for a specific candidate using the search bar to select that particular candidate.

  4. Once selected, the candidates' details, including evaluations, decisions, and completed evaluations, will be displayed in a widget format for easy comparison.
    NOTE: Please note that you can compare up to three candidates at a time.

From the comparison page, you can perform various actions such as inviting candidates to an interview or screening, sending SMS, adding notes, and more by clicking on the appropriate action buttons/options mentioned on the widget.

You can also approve or decline candidates and change their hiring status directly from the comparison page.

If needed, you can swap or remove candidates from the comparison page. To do so:

  1. Click on the 'minus button' icon on the widget to remove a candidate.

  2. Click on the 'swap' icon on the widget to swap a candidate for comparison.

  3. When you remove a candidate from the comparison, notice that '+ Add candidate' button is enabled to add the 3rd candidate for comparison.
