Hiring Team Roles in Phenom
Each job in Phenom includes these hiring team roles: Recruiter, Hiring Manager, and Interviewer.
- Recruiter and Hiring Manager(s) are pulled from Taleo.
- Interviewer is a Phenom‑only role (not synced from Taleo).
Role Descriptions
Recruiter
- The person listed as Recruiter on the requisition in Taleo appears as Recruiter in Phenom.
Hiring Manager
- Anyone listed in Taleo on a requisition as Hiring Manager, Hiring Manager Assistant, or Collaborator appears as a Hiring Manager in Phenom.
- An MU Health Care employee can also be added as a Hiring Manager directly in Phenom.
- Should be a leader or key participant across departmental screening, interviews, and offer decisions.
Interviewer
- Any MU Health Care employee can be added as an Interviewer in Phenom.
- Interviewers receive limited access in the Hiring Manager app, focused on interviewing and providing feedback.

View the Hiring Team
- Open the Job Page in the Hiring Manager app.
- Click the hamburger icon (three lines) in the upper‑right.
- Select Hiring Team.

Add or Remove Team Members
Add a Team Member
- Open the Job Page → hamburger icon → Hiring Team.
- Click the pencil icon to edit.
- Choose Add a Hiring Manager or Add an Interviewer.
- Search and select the employee.
- Click Save.

Remove a Team Member
First, determine the source of the person’s role:
- If listed in Taleo (HM / HM Assistant / Collaborator):
- Ask Recruiter to remove them from the requisition in Taleo (not in Phenom; the syncing connection between Taleo and Phenom will re‑add them if they remain in Taleo).
- After the person has been removed from the requisition in Taleo, allow up to 4 hours for Phenom to update.
- If added only in Phenom (not in Taleo):
- 1. Job Page → hamburger icon → Hiring Team.
- 2. Click the pencil icon.
- 3. Click the trash can icon next to the person’s name.
- 4. Click Save.

Interviewer Access to Candidate Profiles
An Interviewer gains access to view a candidate profile when an interview is scheduled between that interviewer and the candidate using Phenom Scheduling.
Visibility to candidate profiles is a key difference between the Hiring Manager and Interviewer roles. As previously stated, Hiring Managers can see all candidates a recruiter has shared on a job. Interviewers can only see candidates they are scheduled to interview.

Use Notes on the candidate profile to centralize updates and feedback.
- Use @mentions to tag hiring team members and trigger notifications.
- Keep actions moving by requesting specific next steps in your note.

- Keep communication in one place.
- Promote transparency and teamwork.
- Reduce miscommunication and delays.
- Notify tagged team members instantly.

Best Practices
- Be intentional about who is listed on a req in Taleo—add only those who need visibility for approval or require full candidate action access in Phenom.
- Be cautious before acting in Hiring Manager—some actions cannot be undone.
- Clarify responsibilities when multiple HMs are on one job to prevent duplicate moves or excess notifications.
- Use Notes to keep the team aligned; @mention to drive timely action.
- Plan for time off—consider adding a temporary HM in Phenom to manage candidates during absences.
