Recruitment Process Training for Hiring Teams: Creating and Posting a Job

Creating a Requisition and Submitting for Approval

Use this job aide to guide hiring teams through the requisition creation process.

Types of Position Postings

External: External positions are submitted through our ATS and advertised to the public via our external career site and other job boards. These positions are open to all candidates.

Internal: Internal positions are submitted through our ATS and advertised to an internal audience via our internal career site. These positions are open to Hospital employees only.

Departmental: Department specific positions are posted by HR Department ID (i.e. HHOUSKEP). These posted positions are open only to employees that reside within the department of the vacant position. The position may be advertised via email to the department and generally provide 5 days for employees to indicate interest. After 5 days, the hiring manager manages the recruitment and interview process, chooses the most qualified candidate, and promptly notifies the Talent Acquisition partner of the final candidate.

Sourcing: A sourcing requisition is an ongoing job posting that remains open continuously, aimed at building a pool of qualified candidates for roles with frequent staffing needs. It allows organizations to proactively attract and evaluate potential hires, streamlining the hiring process when specific positions become available. They are created by Human Resources and are not filled with a candidate.

Posting Guidelines

Full-Time (.75 FTE or greater) positions are posted for a minimum of 5 business days.

Part-Time (.74 FTE or less) positions do not have specific posting length requirements.

Union-eligible positions must be posted for a minimum of a 5-day union bid period.

Departmental Postings: Departments may request that positions be advertised to internal applicants only. However, this may not be an option where a position is underutilized per MU Health Care’s Affirmative Action Plan. See Departmental Posting process requirements for more details.

Union Positions

  • A position must be at least 0.75 FTE to be union-eligible.
  • Must be posted internally and externally for a minimum of 5 business days. Therefore, no one can be hired for 5 days so submit the requisition ASAP!
  • The position must be posted, regardless of whether there is an internal employee applying for the role.
  • The recruiter will review all candidates to ensure they are in good standing as soon as possible after the 5-day posting period.
  • Hiring managers should expect to hire the senior bidder. If there are concerns, bring it up to the recruiter.
  • If there are no candidates after the 5-day period, the requisition will remain posted until the position is filled.

To find Union Positions:

  • Visit the UM System Job Code Detail page.
  • Scroll down to the Job Code Detail Power BI table.
  • Select the Union Staff tab.
  • In the Campus filter, select "HOSPT" to view union eligible jobs in the Hospital business unit.

Job Boards

Recruiters can post to outside job boards, such as those specific to the field or a geographic area.

If there is a fee for the posting, it must come out of the department's budget.
