Managing Zoom AI Companion Settings

Zoom AI Companion features are available for use within the UM System Zoom instance. UM System Protected does not have access to any AI features due to the additional security required on that domain. 

While these features are available at no-cost to users, they are not required for use. You have control over which AI Companion capabilities you want to use in meetings you host. You can turn these capabilities on or off at any time, and you can choose whether or not to use them in your meetings on a case-by-case basis. 

Note: AI Companion settings are managed by the host of the meeting. Users will see a glowing AI sparkle icon in the top-right corner of the Zoom window if AI Companion is active during a meeting and will receive a notification describing the capabilities that are active for that meeting. 

Managing AI Companion settings on your account

  1. Sign in to umsystem.zoom.us using your university credentials. 
  2. From the Personal menu on the left side of the screen, select Settings
  3. Select AI Companion from the tabs across the top to review your AI Companion settings (See Fig. 1).​​​

  4. Select the toggle next to a feature to enable or disable it. 
  5. Some features, such as data sources, may have additional check boxes or radio buttons that appear once the feature has been turned on. 
  6. These features are the default for your accounts, but can be changed at any point. Any changes made will apply to future meetings. 

Managing AI Companion for individual meetings

You may adjust your settings for individual meetings before they begin. 

  1. Sign in to umsystem.zoom.us using your university credentials. 
  2. From the Personal menu on the left side of the screen, select Meetings to see a list of your upcoming meetings. 
  3. Hover over the meeting you would like to edit, then select Edit when it appears (See Fig. 2).

  4. Find the AI Companion section of the settings and toggle features on and off for that meeting (See Fig. 3).

  5. Select Save at the bottom of the screen. 

Manage AI Companion settings during a meeting 

As the host of a Zoom meeting, you can also adjust your AI Companion feature availability during a meeting. 

  1. Start your Zoom meeting. 
  2. Select the AI Companion sparkle icon in the meeting toolbar (See Figure 4). Icons may move depending on the size of your Zoom window. If you do not see the icon, check under More (See Fig. 4).

  3. An AI Companion window will open on the right side of the Zoom application. 
  4. Select Stop AI Companion to stop AI Companion features in the meeting (See Fig. 5).

  5. A pop-up notification will appear on your screen. Select the checkbox to delete meeting assets if preferred, then select Stop (See Fig. 6).

  6. To adjust other settings, return to the AI window on the right side of your screen and select the Settings (gear) icon (See Fig. 7).

  7. Use the toggles to turn individual features off and on and adjust any additional settings for this meeting. 

Note: Smart Recording features are tied to the meeting recording, and those settings cannot be changed during the meeting. If you record a meeting, Smart Recording will either be off or on, depending on your account settings.
