The Phenom Hiring Manager Application is a key component of MU Health Care’s HR technology ecosystem, empowering hiring teams with modern tools to move candidates through our recruitment process faster, smarter, and more collaboratively.
One of the highlights of Phenom is its scheduling tool. Phenom Scheduling (embedded within the Hiring Manager Application) automatically manages email/SMS communications and proposes time slots based on interviewer availability. Hiring Managers can initiate interviews between candidates and any employee at MU Health Care using Phenom Scheduling.
If a Hiring Manager requests you interview a candidate through Phenom Scheduling, you become an Interviewer on a job's hiring team in Phenom. The Interviewer role gives you limited access to the Phenom Hiring Manager application so that you may review and evaluate candidates. This article shares everything you need to know to successfully navigate Phenom Hiring Manager as an Interviewer.

How to Navigate Phenom Hiring Manager
HOME PAGE
The Home Page includes widgets and tools that keep your work organized.

Open Jobs & Total Active Applicants
- Open Jobs: Total number of open jobs you are assigned.
- Total Active Applicants: Total number of your active applicants.
- Click on the blue arrow on this widget to see which jobs have active candidates and jump directly into those jobs.
Jobs List
By default, the Jobs List shows all open jobs to which you are assigned. You'll see basic job details plus open tasks, upcoming interviews, and candidates.
Sorting & Filtering
- Sort by: Open Tasks, Date Posted, or Recent Open Tasks.
- When sorting by Date Posted, jobs appear by most recent posting date, whether or not the job is currently posted. Jobs never posted will sort to the bottom.
- Filters: Use Filters, Past Jobs to toggle between Open and Past Jobs.
- Pagination: If you are assigned more than 10 jobs, the dashboard separates them into pages.
- Closed Jobs: Jobs that have been filled or canceled.
Note: Given our current processes, the Intake tab next to Jobs List will always contain "0" Intakes, so you do not need to engage with this tab.
My Interviews Panel
On the right side of the Home Page, the My Interviews panel shows your Upcoming and Past interviews scheduled via Phenom Scheduling. Click on an interview to view its full details.
System Management Tools (Top-Right Icons)
- Search Bar: Find candidates by name or email, or jobs by requisition number or title.
- Question Mark (?): Access Phenom learning resources. (Some resources may reference products MUHC does not use.)
- Calendar: Set your interview availability hours for Phenom Scheduling (see Phenom Scheduling for Interviewers section below for details)
- Messages: As an Interviewer, you cannot text candidates from the platform. You will not use this Messages feature.
- Initials Menu: Access Account Settings or Sign Out.
JOB PAGE
Open any job page by clicking its title in the Jobs List or by searching in the Search Bar. The Job Page includes requisition details, your interviews for the job, and the candidate hiring pipeline. Your candidates will appear in the Interview stage of the pipeline.

CANDIDATE PROFILE

- Quick Candidate Details: Name (preferred first name displays if provided), Hiring Status, Current Title & Company, Location, Primary Email, Primary Phone.
- AI-Generated Profile Summary: Provides a concise overview of the candidate’s most relevant experience, skills, and qualifications.
- Experience, Education, Skills, Certifications.
- Notes: Entries by hiring team members and recruiters.
- My Interviews: Your Upcoming & Past interviews with the candidate.
- Evaluations: See your evaluation form upon submission.
- Attachments: You should see HR Preliminary Interview Notes for all external candidates. If applicable, you may also see Resume and other relevant application documents.
Phenom Scheduling for Interviewers
When a candidate selects an interview time with you, you will receive an Outlook meeting invitation that includes a link to the candidate profile. Click on this link to open the Phenom Hiring Manager application.
RESCHEDULING AN INTERVIEW
If you need to reschedule the interview:
- Locate the interview from My Interviews on the home page or from the Job page.
- Click the interview to open the Interview Details pop‑up.
- Click Decline.

- You and the candidate will receive a cancellation notice for the original interview time.
- The candidate receives an email with a link to reschedule for another time.
- The job's Hiring Manager(s) also receive an email letting them know that you declined the original meeting time and that new times have been sent to the candidate (Note: the Hiring Manager will receive an escalation email from Phenom if there are not other interview times available in your calendar).
- When the candidate selects a new interview time, you will receive a meeting invitation for the new interview time. The candidate also receives a confirmation for the new time.
A candidate can also initiate rescheduling an interview.
To reschedule, a candidate:
- Opens their Interview Confirmation email and clicks the scheduling link.
- On the scheduling page, chooses Reschedule.
- If alternative times are available, selects new time and submits.
What happens next:
- All interviewers receive an Outlook cancellation for the original time and a new Outlook invitation for the updated time.
- The candidate receives an updated confirmation.
If no alternative times are available for the candidate to select:
- Phenom sends the Hiring Manager who initiated the interview an Action Required escalation email asking for additional availability. You may receive a request from the Hiring Manager or the Phenom system about whether you can open up additional Free time in your Outlook calendar for the interview.
What to Do After the Interview
If the interview happens as scheduled, complete your interview evaluation form in Phenom as soon as possible. When the interview is done, you will automatically receive an email asking you to evaluate the candidate. Click the link in the email to complete your evaluation.
If the interview does not occur, change the interview's status to "Not Completed" by following these steps:
- Click on the interview from the Home Page or Job Page. This opens the interview details side panel.
- Click the "Not Completed" icon (a calendar with an "x" in the middle).

- Complete the questions in the Not Completed pop-up window (please check "Add comment to candidate profile notes" if you leave a comment) and click Change status.

- Now the interview status "Not Completed" will show on the interview.

- Hover over the red "Not completed" status to see the reason the interview was not completed and the interviewer comment if one exists.
- The job's Hiring Manager and Recruiter will also be able to see this status on the interview.
