Overview
Phenom Hiring Manager provides a candidate’s email address and primary phone number for communication. You can also send SMS text messages directly within Phenom using a Phenom‑assigned number (so messages appear to candidates as coming from a standard local number).
Email a Candidate
- Open the candidate profile.
- Click the candidate’s email address at the top of the profile.
- An Outlook compose window opens—draft and send your email.

Call a Candidate
- The candidate’s primary phone number appears at the top of the profile.
- Use your work phone to call. Document outcomes with a Note on the candidate profile when appropriate.

Set Up Text Messaging (First‑Time Only)
- Click the Messages icon in the top‑right of the Home Page.

- The pop‑up requests your area code. Enter 573 and select "573 MO." Click the green "Set my area code button."

- Phenom assigns you a text‑enabled number. You’ll then see your Messages Home screen, where you can send texts and view past conversations.
Send a Text Message
You can text from either the candidate profile or the Messages Home screen. Please note that only hiring managers and recruiters can text candidates from Phenom. Employees with the "Interviewer" role on the Hiring Team cannot text candidates from Phenom.
From the candidate profile:
- Click the three dots (ellipsis).
- Select Send SMS to open Messages Home pre‑filtered to the candidate.

From Messages Home:
- Search by candidate name or email.
- Select the candidate to open the message thread.
- Verify you have the correct candidate by checking the email and experience at the top of the window.
- Type your message in "Enter your message here" box.
- Click Send.
What the candidate sees: Your text arrives like any standard SMS. When the candidate replies, you receive an email notification.

Note: The system may restrict you from texting a candidate if the candidate has opted out of text messaging. When a candidate has opted out of receiving messages, “Send SMS” will be grayed out, and you will be unable to click it.
The system may also not be able to text the candidate for a technical reason. If this happens, communicate with the candidate through other modalities.
SMS Conversation Indicator on Candidate Profile
At the top of the candidate profile in Hiring Manager, you’ll find an SMS conversation indicator. This indicator lets you easily determine whether you have an active SMS conversation with a candidate.
If an active thread exists, the system displays an indicator showing:
- Who sent the last message.
- When the last reply was received.

Clicking on the indicator will redirect you to the SMS conversation page.
If there is no ongoing conversation, the profile clearly displays “No active conversation.”

SMS Do’s and Don’ts
Do
- Treat SMS as official company communication. Follow MUHC standards.
- Identify yourself professionally (name, role, MU Health Care).
- Keep messages brief and clear with a single purpose.
- Respond promptly to questions.
- Use proper grammar and punctuation.
- Include next steps or a clear call to action.
Don’t
- Use slang or overly casual abbreviations.
- Text outside business‑appropriate hours for your role.
- Include confidential health information or sensitive PII in text.
- Overload with long paragraphs—move complex details to email.
- Send generic messages—personalize with the candidate’s name and role.
