How to search for students and use advanced searching

Body

Within MU Connect, you are able to see student records for whom you have a defined relationship. Relationships are determined by your role at MU and within MU Connect. Faculty are able to see students in their classes; advisors are able to see students assigned to them and within their unit; support staff are able to see students assigned to their support unit, etc.  Some relationships and access to student information requires additional access approved through the Registrar's Office.

1. Finding Your Students (Basic Search)

You can search for students using their ID number, name, or username. You can use the Search for Students search bar in the top corner of the page or use the instructions below.

  • Click the menu icon > click Students > click My Students or Tracking
    • Clicking My Students will show all students in your network
    • Clicking Tracking will show you all students with tracking items (flags, kudos, etc.)
  • From here, you can search for a student by their ID number, name, or username
  • To further filter
    • Use the Connection (which is role-based), Term, and/or Cohort

NOTE: If you are attempting to search for a specific student by their name or ID number, it is best practice to set remove all filters and under the Connection select All My Students.

2. Viewing Student Profiles (folders)

Once you find a student's record, you can view information on them based on your permissions. If you have questions or concerns regarding your access, contact muconnectsupport@missouri.edu.

  • Click a student's hyperlinked name to open their profile (folder). In general, the folder contains the following:
    • Overview - attributes including academic level, major, GPA, etc.
    • Success Plans - plans created by various offices with action steps for students to complete or track progress
    • Courses - current, upcoming, and completed courses
    • Tracking - flags, kudos, referrals, to-dos
    • Student Surveys - pre-advising questionnaire response from first term at MU and other student specific surveys
    • Meetings - scheduled and completed with staff or faculty using MU Connect
    • Notes - general advising or progress notes
    • Network - individuals and offices assigned to the student's Success Network

3. Advanced Search (My Students & Tracking tabs)

You can find groups of students by adding filters. This allows for targeted outreach and more.

  • Click Add Filters on the right side of the screen.

Tip: Always click Clear All Filters before starting a new search.

  • Filter options include:

    • Tracking Items - shows students that had/have tracking items (flags, kudos, to-do items, referrals, etc.)

    • Cohorts & Relationships - shows students based on their cohort (group), term, or connection to you (enrollment in a course, major, etc.)

    • Meetings - shows students based on whether or not they've had a specific meeting type

    • Success Plans - shows students with or without a specific success plan

    • Attributes - shows students based on various attributes (academic level, holds, expected graduation term, etc.)

Using the Tracking Tab

  • Shows students with an active or past tracking item (flag, kudo, referral, to-do, etc.).  Select the Status.
  • Filter further by:
    • Tracking Type (Flag, Kudo, Referral, To-Do)
    • Closure Reason (helpful to use to see tracking items with outreach, closed by students, etc.)
    • Item Name (specific name of the flag, kudo, etc.)
    • Created By (helpful to find specific items created by yourself or a specific instructor, advisor, etc.)
    • Course Context (helpful to find flags, kudos or referrals based on the course they were raised in)
    • Due Date (used for to-do items)
    • Creation Date (select a date range or leave blank to find all items based on other criteria)

Filtering by Attributes

Attributes are assigned to students automatically and manually based on various criteria.  They include academic level, academic standing, not enrolled for Fall/Spring, major, veteran, etc.). These can be helpful when trying to identify a specific subset of students for outreach (events, enrollment, etc.). Advanced filtering allows you to add up to 5 attributes at a time.

In the My Students tab, click Add Filters, click Attributes tab on the left menu.

  1. Click Add Attribute

  2. Select the Attribute and its Value (assigned to student or not assigned to student). Some attributes have specific value criteria that can be selected or added to define a group of students (i.e., plan, program).

  3. Click Add Attribute to add more as needed or click Submit

  • The Logic Box lets you change relationships between attributes:

    • AND – narrows results (all must be true)

    • OR – broadens results (any may be true)

    • NOT – excludes results

    • Use parentheses to group conditions (i.e. 1 OR 2 OR 3; 1 AND (2 OR 3); (1 AND 2) OR 3

4. Clearing Searches

Click the X next to Edit Filters to clear your criteria. This returns you to your main student list under the selected connection.
