Resource Accounts

From an account management standpoint, resource accounts are different from regular Exchange accounts.

A resource account:

  • May or may not have an associated mailbox

  • May be tied to a particular resource (such as a conference room) for scheduling purposes

  • May not necessarily denote an individual

  • Always has at least one owner or an individual with 'full-rights' access to the account know as a Sponsor

  • May have calendar information shared or have delegate access assigned to users

  • Can be configured and accessed in Outlook or Outlook Web Access

  • Is always linked (via ownership, or full access rights) to another valid Exchange account

How to manage a Resource account

Resource accounts are managed by their sponsors. Sponsors are able to manage resource accounts by going to accounts.umsystem.edu and logging in with their university account. Once they have logged in they will then click the manage sponsor account button:

This will load the full list of every account the Sponsor is able to manage.

From the list they will then find the account they need to manage and click the edit button on the right side. 

In the new pop-up sponsors will have a number of options. 

  1. They are able to change sponsors of the account by clicking the change sponsor button.

  2. They are able to extend the accounts expiration date by one year.

  3. They can change the Account purpose/Description.

  4. Finally they can add and remove mailbox owners.

Mailbox Owners

Mailbox owners are people who can view and manage the mailbox as needed. To add a mailbox owner, the Sponsor of the mailbox will need to:

  1. Scroll down to 'Mailbox Owner' in the new pop-up

  2. Click 'Add New Mailbox Owner'

  3. Enter the username of the person they wish to have access to the mailbox

  4. Find them from the search list and press ‘Select’

After adding the person to the mailbox owner list, the new mailbox owner will have to wait for two hours before closing and reopening Outlook. The account should have been added on the left side of Outlook automatically.

Next we will go over how to access the mailbox and use it as a mailbox owner. 

Mailbox owners who are unable to see their mailbox on the left side of Outlook or are otherwise on the web will need to do the following to access the mailbox for the first time:

  1. Go to outlook.office.com and login with their personal university account

  2. After logging in click on the account icon in the top right corner

  3. In the drop-down menu click ‘Open Another Mailbox’

  4. In the pop-up box type in the email address of the account they wish to use

  5. Press ‘Open’

  6. In a new tab the email box will open and can be used as needed
