Microsoft Teams Premium – Access and Usage Guide

Overview

Microsoft Teams Premium is an add-on license that enhances the Microsoft Teams experience with advanced meeting capabilities such as intelligent meeting recaps, AI-generated notes, live translations, and branded meeting experiences. These features are designed to improve collaboration, productivity, and meeting efficiency.

At the University of Missouri (UM) System, Teams Premium is available as a paid add-on license. This guide outlines the process for obtaining access for UMC users, activating the service, and using Teams Premium effectively within the UM environment.

Note: Teams Premium is being evaluated at MU Health Care (MUHC) to ensure it meets health information security and compliance requirements. It is not available for use currently. Individuals affiliated with MUHA, the MU School of Medicine, the MU Sinclair School of Nursing, the MU College of Health Sciences, or anyone who accesses protected health information (PHI) must follow the security guidance outlined in the final section of this document.

1. Obtaining a Microsoft Teams Premium License for UMC Campus Users (UMKC, MST, and UMSL users should check with their IT department for their internal process.)

To use the full features of Microsoft Teams Premium, users must be assigned a Teams Premium license. The process is as follows:

Step 1: Submit a TDX Request

  • Navigate to the DoIT Service Portal (TDX):Microsoft Client Applications - Request/Renew Teams Premium License
    • Helpful Tip: Save time in TDX by using the search bar. It’s perfect when you don’t have a direct link and want to quickly locate Knowledge Base articles or services.
  • Submit the request form, including:  User Information, Billing MoCode, Authorized Signer (Consult your department to identify the TDX fiscal approver for your MoCode) 

Step 2: License Assignment

Once the request receives fiscal approval from the department, the license is assigned to the user’s Microsoft 365 account via Azure Active Directory.
Users will be notified when the license is active.

2. Accessing Microsoft Teams Premium

After license assignment, users can access Teams Premium features within the Microsoft Teams application.

Sign-In Requirements

  • Ensure you are signed into Microsoft Teams with your UM Microsoft 365 account.

Locating Teams Premium Features

  • Open the Microsoft Teams desktop or web app.
  • Navigate to the calendar and join or schedule a meeting.
  • Teams Premium features such as intelligent recap, live translation, and branded meeting experiences will appear automatically if your account is licensed.

Troubleshooting Access

If Teams Premium features are not visible:

  1. Confirm you are signed in with the licensed UM account.
  2. Try accessing Teams via the web at https://teams.microsoft.com.
  3. Restart the Teams app or your device.
3. Using Microsoft Teams Premium

Teams Premium enhances your meeting experience with AI-powered tools and advanced collaboration features. Below are examples of how to use it:

Before the Meeting

  • Schedule a meeting with advanced options such as:
    • Sensitivity labels
    • Meeting templates
    • Custom meeting branding (e.g., organization logo and background)

During the Meeting

  • Use live translation and real-time captions to support multilingual participants.
  • Enable intelligent meeting recording to capture key moments, speaker timelines, and automatic chapters.
  • Use AI-generated prompts to ask questions or summarize discussions.

After the Meeting

  • Access the Recap tab to:
    • Review AI-generated meeting summaries
    • View suggested action items
    • Navigate speaker timelines and key topics
    • Export summaries to Word or Excel for further collaboration

Note: Intelligent recap and other AI features are only available if the meeting was recorded and transcription was enabled.

Security Information

Approved Data Classifications

Microsoft Teams Premium is approved for use with the following data classification levels:

  • DCL-1 to DCL-3
    Use of Teams Premium with data outside these classifications is not permitted.

Data Restrictions and Prohibited Use

Do not enter, upload, or reference DCL‑4 data in Teams Premium meetings or features. This includes, but is not limited to:

  • Protected Health Information (PHI)
  • Social Security numbers
  • Patient names
  • Medical record numbers
  • Dates of birth
  • Dates of procedures or treatments
  • Any other Personally Identifiable Information (PII)

Prompts must never include DCL‑4 data. It is also prohibited to intentionally prompt Teams Premium features to return DCL‑4 data.
