Question
How do I request a DoIT Project Manager for my project?
Answer
Within the TeamDynamix Division of Information Technology Home page, click on the Submit a Service Request >> black box within the Services Category.
Click on Administrative & Business.
Click on Project Management.
Click on Request an IT Project.
Click on the black button entitled Request an IT Project Manager to open the form.
Complete the form (* indicates is a required field) but be aware answers can be updated after a project is approved and a DoIT PM has been assigned:
- Project Name *: Name of the Project.
- Project Description *: Brief description of the project.
- Current Start Date *: Estimated date project team is expected to begin work. The start date cannot be before the date you enter this request.
- Current End Date *: Estimated date project team is expected to complete all work.
- Target Go-Live Date *: Estimated date of go-live or launch.
- Sponsor Name *: Name of the Executive Sponsor. This field will auto-populate to Requester name but can be changed. See Appendix A of the Charter for Roles and Responsibilities of an Executive Sponsor (https://tdx.umsystem.edu/TDClient/36/DoIT/KB/ArticleDet?ID=1411).
- Project Lead Name(s) *: Name of the Functional Lead, Technical Lead, and/or Project Lead (if is same functional and technical). See Appendix A of the Charter for Roles and Responsibilities of these Leads (https://tdx.umsystem.edu/TDClient/36/DoIT/KB/ArticleDet?ID=1411).
- Additional Project Information (concerns, constraints, risks, etc.): Any additional concerns, constraints, risks, goals, stakeholder lists, etc. that is useful for IT Directors to approve this project.
- Budget Status *: Select the appropriate status from the drop-down.
- No Funding Required: No expenses are expected to be spent on this project.
- IT Funding Required: IT will be expected to fund this project. IT Finance will need to approve this project before a Project Manager is assigned.
- Non-IT Funding Required: A department other than IT will be funding this project.
- Funding Unknown: It is unknown what funding is expected for this project. IT Finance will need to approve this project before a Project Manager is assigned.
- MoCode *: If IT Funding or Non-IT Funding was selected above, enter the MoCode that has been approved to fund this project. If No Funding or Funding Unknown was selected, enter "n/a" in this field.
- Funding Type: select one of the following:
- No Cost: No expenses are expected to be spent on this project.
- One-time Cost: Expenses are expected to be incurred for implementation only.
- Reoccurring Cost: Expenses are expected to be incurred periodically once this project is completed.
- One-time Cost and Reoccurring Cost: Initial costs and periodic expenses are expected to be incurred once this project is completed.
- Amount: The budgeted amount(s) that has been approved to fund this project.
- Additional Financial Information: Any additional financial information that is useful for IT Directors to approve this project.
Click the Save black button at the top of the page.
Click the Review and Submit black button.
Review the information for accuracy and attach any files (Business Case, Charter, etc.) by dragging and dropping the attachment into the blue rectangle under the Files section.
Click the Mark Complete and Submit black button at top of page.
A box may appear that there are Incomplete Sections for the Files section. Cancel if you have additional attachments or click Mark Complete and Submit black box.
If the project has not been approved, the Requester can see the request by clicking on the Project Requests tab in the Services area.
- Once the project has been approved, the request will no longer show in this list.
Once the project request has been approved by all appropriate DoIT leadership, an automatic email will be generated to the Requester. The subject line will indicate that the TeamDynamix Request has been Converted to Project. An assigned DoIT Project Manager will be reaching out to the Requester to initiate the project work.
- If the DoIT leadership needs additional information prior to approving the request, they will reach out to the Requester.
- If the DoIT leadership declines a project request, an automatic email will be generated to the Requester. The subject line will indicate that the TeamDynamix Request has been Declined.
